In this frame, the company is looking for an Administrative Assistant, Junior profile.

Duties

The Administrative Assistant will assist in the provision of effective and efficient administrative suuport within the Administration Department.

He/She must operate within the defined team and service structure, and he/she will be responsible in the next areas, for:

Accounting

  • Manage all the administrative tasks related to the accounting as an accounting administration assistant. From the invoices reception to the payment approval process management.

Reception and Facility

  • Accomplish all the reception of our building, from the wrelcome of visitors to the schedule management of the maintenace of the building

Administration

  • Word process routine correspondence eg. Memos, letters, lists, spreadsheets etc. in French and English
  • Document archiving
  • Assist in the monitoring and maintenance of all office baesd administrative systems within the required deadlines.
  • Deal with all levels of staff to the office on a day-to-day basis.
  • Management of incoming and outcoming mail/post/fax/call : pass it to appropriate persons, distribute any outgoing mail from the office
  • File correspondence and maintain filing systems as specified.
  • Making appointments, prepare the meeting rooms, support professional correspondence.

Education and experience

  • Bachelor's degree in Executive secretary or any related studies.
  • A first experience in a similar position will be an asset.

  • Very good command of the Office's suite.
  • Specific attention to detail.
  • Customer focus.
  • Analytical and good sense of organization work
  • Rigor, accuracy and reliability
  • Keyboard skills.

  • Flexible, as the candidate will be working for a number of team members.

  • Ability to work under pressure, to handle high level of workload.

Language skills

  • Perfect command of French, both orally and writing.
  • Fluency in English is also required both orally and writing. Another language is an asset.

Ancillaries

  • 6 month defined term contract. After this period, a long term contract is possible.

  • Position based in Transinne, Belgium.

  • Valid driver’s license required
